Assistant Crew Manager – what does that involve?


OVERALL PURPOSE OF THE JOB:



  • To support the Crew Manager, to ensure the smooth crewing operations.

  • Demonstrate active support of the V Ships Seafarer’s Charter and Ten Commitments

KEY RESPONSIBILITIES and TASKS:



  • Communication of crew changes to vessels, recruiting agents and port agents. 

  • Making and/or co-ordinating travel and visa arrangements for joining and leaving crew in conjunction with travel department, recruiting agents, vessels and port agents. 

  • Updating of crew lists and appraisal reports in ShipSure. 

  • Making travel arrangements for sea staff to attend the office for interview or briefing and to ensure that such visits are properly documented. 

  • Provide emergency support to managed vessel seafarers as maybe necessary, including acting as ‘out of hours’ contact point for any crew travel and/or visa issues. 

  • Provide a welcoming and supportive environment when seafarers visit the office. 

  • Visit vessels and attend meetings at client offices or offsite as required. 

  • Ensure that any SMS documentation deficiencies are brought to the attention of the Crew Manager. 

  • Under the supervision of the Crew Manager, prepare the preparation of contracts for directly employed sea staff or arrange with the employer any contract preparation required. 

  • Liaise with Flag State administrations for the issue of required crew documentation. 

  • To deal with all correspondence received including the timely on forwarding of crew mail and to reply to all applications received under the supervision of the Crew Managers. 

  • Ensure seafarer data is entered accurately into ShipSure so that up-to-date information is available at all times. 

  • Escalate any issues or concerns relating to crewing operations to the Crew Manager as necessary 

Group looking for?



  • Prior crewing experience

  • Competent IT user (Word, Outlook, Excel)

  • Familiar with STCW certification requirements

  • Familiar with cruise ship operations
